Close of Entries

 

As your entry deadline approaches, you'll probably be getting more and more skaters.  Some will be entering online, and some will be sending you paper entry forms.

You'll likely have to step up your efforts to get skaters' coaches and home clubs to record their approvals.  Use your "All Entered Skaters" screen to keep track of these approvals and send reminders as you see fit.

Completing the paper entries

The website will not accept online entries after your deadline expires.  Once the deadline passes, the only remaining entries to process should be those you've received on paper forms.

You may have dozens or even more than 100 forms to process, depending on the size of your competition.  At this point, the work will go faster if you assign several volunteers to help you.  All you need to do is create an Administrator account for each volunteer who will be processing entries.  For more information, please see the delegating work portion of the user's guide.

Referee's report

On the administration home-page, bring down the "Reports" menu and access the "All Reports" screen.  Your referee's report is available here

The report is a simple CSV (spreadsheet) file containing sorted entry information suitable for your competition referee.  It is calculated in real-time, based on your current data, so it will always contain the latest entry information.  So, if you make a late change and download the report again, it will contain your up-to-date information.

The referee's report is not just a "one time only" download -- you can download it more than once if the need arises.

The download is quite fast -- usually less than one minute

Change reports

There are two "change" reports available here: The Referee's change report, and the Accountant's change report

After close-of-entries, EntryEeze will begin recording information about skaters who are entered AFTER the entry deadline expires. This is done to assist referees who may have downloaded the Referee's Report just after the deadline, and may not otherwise have been aware of late entries. In most cases, these late entries are paper-entry forms that you process.

Of course, the Referee's report will contain all data. This means that some duplication is possible. This could happen if both reports are downloaded at the same time. The intent of the change-report is to assist the referee in knowing which skaters were entered late (after the entry deadline). This is especially useful if the primary Referee's report is downloaded immediately after close-of-entries (to construct a preliminary schedule), and then the change-report is downloaded later to supplement.

The Accountant's change-report is similar; it contains changes made to any part of the schedule AFTER it is published from EntryEeze. This includes late withdrawals and group re-assignments.
